How to Set Up Email Marketing on roomvu

Email marketing is one of the most effective ways to stay top of mind with your clients and prospects. roomvu's email marketing system lets you send branded, automated email campaigns to your contact list with minimal setup. Once it is running, the system takes care of sending the right content to your audience on a regular schedule without you having to do anything manually.

This guide walks you through every step from adding your contacts to launching your first campaign.


Step 1: Add Your Contacts

Before you can send any emails, you need contacts in your roomvu account. There are two ways to do this.

Option A: Import from Gmail

If you use Gmail or an Android phone, you likely already have a full address book in Google Contacts, including contacts you may not even know are there. Google automatically saves people you email, call, or message under your account.

To import them into roomvu:

  • Go to contacts.google.com and sign in.

  • In the left sidebar, click Other Contacts. This shows addresses Gmail saved from past emails that are not yet in your main contacts list.

  • Select all contacts in the Other Contacts list and click the Add to Contacts button to move them to your main list. This step is important because roomvu pulls from your main Contacts list, not Other Contacts.

  • In your roomvu dashboard, click Email Newsletters in the left sidebar.

  • Under Contacts, click All Contacts, then choose Import Google Contacts.

  • Click Connect Google Account, select your account, and allow the required permissions.


Your Google contacts will now appear in your roomvu email marketing contacts.

Step 2: Connect Constant Contact

roomvu uses Constant Contact to deliver your emails reliably and ensure they land in your contacts' inboxes rather than spam folders. This integration is available for Platinum and Diamond plan users and is covered by roomvu at no extra cost, a plan valued at $80 USD per month.

Constant Contact handles one thing: email delivery. roomvu manages everything else including content, contacts, and campaign tracking.


How to activate Constant Contact

  • In your roomvu account, go to the Email Marketing section.

  • Click Connect next to Constant Contact.

  • A verification email will be sent to the email address associated with your roomvu account.

  • Open the email and click Verify to complete the activation.

Not receiving the verification email?

Check your spam or junk folder first. If it is not there, you can resend it:

  • In your roomvu account, go to Email Marketing and click Login to access Constant Contact.

  • Click your username in the top right corner and select Settings.

  • Click the Account Emails tab, find your email address under the Email Addresses section, click the three dots next to it, and select Resend Verification Email.

Step 3: Set Up Your Email Campaign

Once your contacts are imported and Constant Contact is connected, you are ready to launch your campaign.

  1. In your roomvu dashboard, click Email Newsletters in the left sidebar.

  2. The first page shows any active campaigns. On the left side you can adjust the send time, select your contacts, and customize the email body.

  3. On the right side you will see a live preview of the email that will be sent to your audience.

Customizing your email

You can personalize the subject line and body of your email. However, do not remove or edit the text inside brackets such as {Name} or {Title}. These are placeholders that roomvu uses to automatically insert your contacts' personal information. If you delete or change them, your contacts may receive the placeholder text word for word instead of their actual name or details.

Send a test email

Before launching, click Test Email to send a copy to yourself. Check your inbox, and if you do not see it, check your spam or junk folder. This lets you confirm everything looks correct before your contacts receive it.

Launch your campaign

Once you are satisfied with the setup, click Start Campaign. Your emails will go out automatically on the scheduled day and time. You can monitor performance including open rates and click-through statistics directly from your roomvu dashboard.


What to expect after launch

Once your campaign is running, roomvu handles everything. The right content for your area is sent to your audience on a regular schedule. You can log back in at any time to review your campaign stats, update your contact list, or adjust your settings.

Email marketing works best when it runs consistently over time. The longer your campaign runs, the more familiar your audience becomes with your name, your brand, and the value you provide.
