Your Dedicated Lead Capture Email

Every Roomvu user gets a personal lead capture email address that looks like this:

This is the core of how the feature works. Any lead email forwarded to this address is automatically parsed and saved to your account as a contact, no manual data entry required.

How to Find Your Lead Capture Email Address

  • Log in to your Roomvu account and scroll down to the More Tools section on the main dashboard.

  • Click AI Lead Receptionist.

  • Your personal lead capture email address will be displayed in the pop-up window.

  • Click Copy to copy it and use it as instructed in the setup steps below.

How it works

  1. You receive a lead through your CRM, website contact form, or any other system.

  2. Forward that email to your dedicated lead capture email address.

  3. The system automatically extracts the lead's information including their name, email, phone number, and message.

  4. The lead is saved to your Roomvu account automatically.

  5. If the system is unable to parse the email, you will receive a notification so you never miss a lead.

How to set it up in your CRM

Most CRMs allow you to set up email forwarding or automated routing rules. Here are the general steps:

  1. Copy your personal lead capture email address from your Roomvu account.

  2. Go to your CRM's email settings or automation rules section.

  3. Set up email forwarding or create an automation rule that forwards incoming lead emails to your lead capture address.

  4. Send a test email to your lead capture address to confirm everything is working correctly.

Email format best practices

The system is designed to extract lead information from a variety of email formats. While vCard format provides the most reliable parsing, plain text formats work as well. Supported formats include structured text, standard email body format, and vCard format.

What if the system cannot read the email?

If the system is unable to automatically parse an incoming email, you will receive a notification at your registered email address. That notification will include the original email content, the sender's information, and the subject line, so you always have everything you need to follow up manually if necessary.

Please note that these notification emails can sometimes end up in your spam folder, so it is worth checking there if you are expecting a lead notification that has not arrived.
